Why Microsoft 365 Admin Center Reports Are a Great Start — But Not the Whole Story

Microsoft 365 administrators rely on the Admin Center for quick insights into their environment. And to be fair — it does a solid job.

You can:

  • Track user activity
  • Monitor license usage
  • View service-level reports

The Admin Center provides usage reports that help analyze adoption and activity trends across services like Teams, Exchange, and OneDrive. But as environments grow and reporting needs become more complex, many admins discover the built-in reports don’t always go far enough.

Where Admin Center Reports Begin to Show Their Limits

The Admin Center is designed to give accessible, high-level visibility. That’s valuable — but advanced reporting often requires more.

1️⃣ Reporting Depth

Admin Center reports focus on usage and activity summaries:

  • High-level dashboards
  • Basic user activity
  • Service-level insights

For deeper needs — like audit trails, security-focused insights, or cross-service correlations — admins often need to look beyond the default reports

2️⃣ Fragmented Visibility

Microsoft 365 reporting is spread across multiple portals:

  • Admin Center (usage reports)
  • Entra ID (sign-ins, audit logs)
  • Exchange Admin Center
  • Microsoft Defender / Purview

Each provides valuable insights, but there’s no single unified view. Even Microsoft documentation separates reporting across services (Microsoft Learn)

3️⃣ Data Delays & Inconsistencies

Reports are helpful, but not always immediate:

  • Data can take 24–72 hours to populate
  • Some datasets take longer
  • Real-time visibility is limited

Microsoft notes that report data availability may be delayed (GitHub). In practice, admins sometimes encounter missing properties or inconsistent updates (Solutions Review).

4️⃣ Customization Constraints

The Admin Center offers::

  • Pre-built reports
  • Fixed views
  • Basic filtering

For tailored dashboards, custom combinations, or specific security insights, admins usually need to export data or turn to Power BI / Graph API.

5️⃣ Automation & Scheduling

Native options don’t include:

  • Scheduled reports
  • Automated delivery
  • Periodic insights

Admins often rely on PowerShell scripts or custom workflows to fill this gap.

6️⃣ Advanced Scenarios Require Multiple Tools

For deeper analysis, admins typically combine:

  • Microsoft Graph PowerShell
  • Power BI (Usage Analytics)
  • Third-party solutions

Even Microsoft recommends Power BI for advanced reporting. (Microsoft Learn).

Which means: the Admin Center is a strong foundation, but not the complete solution.

What This Means for Administrators

In practice, this can lead to:

  • Extra time switching between portals
  • Manual effort for report creation
  • Delayed decision-making
  • Limited visibility into security & compliance

What Administrators Actually Need

A modern Microsoft 365 reporting solution should: ✔ Build on Microsoft’s foundation ✔ Provide unified visibility across services ✔ Offer deeper audit and security insights ✔ Enable quick, one-click reporting ✔ Reduce dependency on scripting ✔ Deliver actionable data — not just summaries

A Better Approach (Coming Soon)

This is the gap we set out to address. At M365Corner, we’ve been working on a free Microsoft 365 Reporting Tool designed to:

  • Simplify reporting
  • Eliminate scripting complexity

  • Bring everything into one place

👉 And it’s launching soon.

(We’ll share more details, including features and download access, in upcoming posts.)

Final Thoughts

The Microsoft 365 Admin Center is an excellent starting point.

But it was never intended to be: 👉 A complete reporting solution

As environments grow, reporting demands grow too. That’s when:

  • Built-in reports reach their limits
  • Complexity increases
  • Efficiency drops

The right tools don’t replace Microsoft’s foundation — they extend it, making decisions faster and easier.
